Tribeca Medspa by AYA is a premier medical aesthetics provider with a rich legacy of clinical expertise, dedicated to helping clients enhance their natural beauty and achieve healthy, radiant skin.The Aesthetic Associate plays a crucial role in the Medical Spa, creating a welcoming first impression for clients and creating efficient, productive schedules for our providers. This individual will be responsible for creating a memorable, luxury experience with all clients. Handling all incoming inquiries, managing the appointment schedule, and actively converting leads into appointments. The ideal candidate possesses a positive demeanor, strong communication and client interaction skills, and the ability to thrive in a fast-paced, goal-oriented medical spa.
Essential Duties and Responsibilities
Client Experience:
- Host and welcome clients warmly, curating a refined first impression and anticipating their needs at every touchpoint.
- Guide guests seamlessly through check-in and check-out, ensure all paperwork is completed with care, process payments discreetly, thoughtfully recommend retail offerings, and secure follow-up appointments.
- Attend to client questions, concerns, and feedback with professionalism and empathy. Be proactive in offering solutions and/or appointments.
- Maintain a clean and inviting reception space that reflects the elevated standards of the medical spa.
- Cultivate lasting, meaningful client relationships through personalized, attentive interactions and thoughtful follow-ups that inspire loyalty and referrals.
Lead Conversion:
- Respond to every inquiry by phone, email, or web promptly and with polished, personalized attention that reflects the spa's premium standard.
- Build rapport with prospective clients, uncover their goals, and guide them through AYA's signature offerings with expertise and discretion.
- Convert interest into booked consultations through a consultative, low-pressure approach that builds confidence.
Patient Scheduling:
- Manage the appointment calendar efficiently and accurately, ensuring a seamless flow for providers and clients.
- Optimize bookings to minimize gaps and maximize provider utilization.
- Honor client scheduling preferences while ensuring smooth workflow.
- Confirm appointments and send timely reminders that keep clients engaged and reduce cancellations.
Administrative Support:
- Maintain meticulous, up-to-date client records in the practice management system, safeguarding accuracy and confidentiality.
- Support marketing initiatives and promotional campaigns.
- Contribute to a well-run medical spa by handling additional responsibilities as needed.
Qualifications
- Education: High school diploma or equivalent. Bachelor's or Associate's degree preferred.
- Experience: 2+ years of sales/host experience in a client-facing, high-touch service or sales role. Luxury or high-end retail, medical spa, beauty & wellness, salon, and concierge experience preferred.
- Proven track record of delivering exceptional service and meeting goals.
