We are seeking a positive, energetic, and dependable Part-Time Medical Assistant / Front Desk Coordinator who enjoys working with people and thrives in a fast-paced, team-oriented environment. This position is cross-trained to support both our providers and front desk, helping ensure every patient receives an outstanding experience from the moment they arrive until they leave.
Responsibilities
- Prepare treatment rooms and equipment before the start of the day and ensure rooms are properly cleaned and reset at the end of the day.
- Welcome, greet, and educate patients on skincare products, treatments, memberships, and post-treatment care.
- Answer phones, schedule appointments, and assist with patient check-in and check-out.
- Maintain a clean, organized, and welcoming environment throughout the medical spa, including treatment rooms and common areas.
- Develop a strong understanding of Sirena's services, products, memberships, and promotions.
- Confidently answer patient questions and help guide patients toward appropriate treatments and skincare recommendations.
- Support providers by verifying patient information, reviewing medical history, obtaining treatment consents, and preparing patients for procedures.
- Prepare treatment trays, rooms, and equipment for injectable, laser, body contouring, and aesthetic procedures.
- Obtain pre- and post-treatment photography and upload images to patient charts.
- Review pre- and post-treatment instructions with patients and ensure all required documentation is completed.
- Maintain treatment room inventory and notify management when supplies need to be reordered.
- Assist with inventory management, stocking supplies, and maintaining medical equipment according to office protocols.
- Capture treatment photos and videos (when appropriate), ensure photo/video consents are completed and up to date, and upload images to the patient's chart.
- Follow all HIPAA, OSHA, infection control, and safety protocols.
- Perform additional administrative or clinical duties as assigned to support daily operations.
Experience
Experience preferred but not required:
- Experience in a medical, dental, or service-based office
- Strong customer service or hospitality background
