POSITION: Receptionist
DEPARTMENT: Front Office
REPORTS TO: Front Office Supervisor/Practice Administrator
JOB SUMMARY: This individual is responsible for answering the telephone in a courteous and professional manner, directing calls to appropriate personnel, scheduling appointments, sending recalls, and making appointment reminder calls.

Education and Experience

  • High school diploma or equivalent.
  • Two years minimum experience in customer service or displayed skills.
  • Bilingual a plus.

Responsibilities

Patient Check-In

  • Checks patients in, greeting everyone in a pleasant and professional manner.
  • Tracks patients in the reception area and communicates with them, as needed.
  • Evaluates chart data to verify all information has been received, completed, and signatures obtained.
  • Photocopies patient's insurance card and identification.
  • Ensures that proper authorization or referral is collected from the patient.
  • Assists patients in obtaining authorization or referrals that have not been received by the practice.
  • Enters all new patient demographic information into the computer, as well as relevant changes.
  • Places charts in queue for specific physician or technician.
  • Marks arrival time of patients in office and makes sure that patients are seen on time.
  • Schedules, reschedules, and cancels appointments as necessary.
  • Files reports and charts.
  • Updates patient recalls as necessary.

Telephones and Greeting

  • Answers telephone calls promptly (three rings).
  • Addresses the caller's concern.
  • Directs all calls to appropriate personnel.
  • Identifies emergency calls and schedules appropriately.
  • Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment.
  • Places telephone calls to no-show appointments; reschedules as needed.
  • Keeps an active cancellation list and monitors compliance and patient retention.
  • Keeps an active recall list and calls patients to ensure proper compliance and care.

Check Out

  • Presents and collects fees, posting charges and payments, making next appointment.
  • Arranges for specific appointment for follow up care, referral, etc.
  • Posts patient checks that come in the mail.
  • Notes and monitors accounts that have balances due.
  • Stocks and keeps reception area, waiting room, and patient restroom clean.

Financial Responsibilities

  • Obtains proper insurance information and updates patient file.
  • Monitors the postage meter and enters postage when needed.
  • Contacts repair service when copier is in need of servicing.
  • Provides fee schedules and insurance information to patients.
  • Ensures that all collections are documented and paperwork balances.

Filing Duties

  • Files all patient charts, patient information, referral letters, and any other patient-related material.
  • Pulls charts for following day; reviews charts for accuracy and order.
  • Pulls charts for insurance review by request.
  • Prepares new patient charts and types patient chart labels.
  • Processes the fee tickets for the following day's patients and places them in the patients' charts, as required.
  • Copies forms, articles, etc.

Administration

  • In conjunction with the Optometrist and under the direction of the same, orders contact lens trials as well as contact lens supply for patients.
  • Using the ePrescribe system, orders medications as needed.
  • Manages records including the release of medical records upon receiving authorization to do so.
