We are seeking an enthusiastic, personable, and highly organized Aesthetic Medical Assistant / Patient Coordinator to become an integral part of our growing team. This unique hybrid role combines direct patient care, provider support, patient coordination, sales, and customer service. You will work closely alongside our providers while also serving as one of the primary points of contact for our patients throughout their aesthetic journey.

What You'll Do

As an Aesthetic Medical Assistant / Patient Coordinator, you'll be responsible for both clinical and administrative duties, helping create an outstanding experience for every patient from their first phone call through their treatment journey.

Patient Experience & Coordination

  • Welcome patients warmly and provide exceptional customer service
  • Answer incoming calls, text messages, emails, and online inquiries
  • Schedule consultations and treatments efficiently
  • Follow up with leads and convert inquiries into booked appointments
  • Educate patients on services, treatment expectations, pre-care and post-care instructions
  • Rebook appointments and maximize provider schedules
  • Maintain patient records and documentation
  • Assist with patient financing options, promotions, and skincare recommendations
  • Collect patient reviews and feedback
  • Ensure a smooth and seamless patient experience throughout every visit

Clinical & Medical Assistant Duties

  • Assist providers during cosmetic and laser procedures
  • Prepare treatment rooms before and after appointments
  • Take and organize before-and-after photographs
  • Obtain and document medical histories
  • Update patient charts and medical records
  • Prepare supplies and equipment for treatments
  • Provide pre-treatment and post-treatment instructions
  • Maintain inventory and restock supplies
  • Anticipate provider needs and support efficient patient flow
  • Ensure treatment rooms and equipment remain organized and fully operational

Social Media Support

  • Capture photos and videos of treatments for marketing purposes
  • Record provider educational content and patient transformations
  • Assist with content creation ideas and social media growth initiatives

Who We're Looking For

  • Comfortable discussing treatments, skincare products, and pricing
  • Eager to learn and grow within the aesthetics industry

Qualifications

  • Medical Assistant experience preferred but not required. We are willing to train the right candidate.
  • Experience in aesthetics, dermatology, plastic surgery, cosmetic dentistry, or wellness is a major plus.
  • Sales, hospitality, luxury retail, or customer service experience is highly valued.
  • Bilingual English/Russian is a plus.
  • Strong communication and interpersonal skills.
  • Basic computer proficiency.
  • Must have reliable transportation.

Schedule

This is a part-time position with the potential to transition into a full-time position.

Candidates must be available to work:

  • Late shifts during the week (until 7 or 9 PM)
  • Schedule includes at least one weekend, but could include both weekends (depending on practice needs)

Schedule may vary based on business needs.
