Executive Personal Assistant & Operations Coordinator
We are seeking a highly organized, polished, ambitious, and resourceful Executive Personal Assistant & Operations Coordinator to work directly with a healthcare professional and entrepreneur overseeing multiple growing ventures.This is a unique, multifaceted position combining healthcare administration, patient advocacy, beauty, and salon operations.
We are looking for a true Go-Getter who enjoys variety, learns quickly, takes initiative, and can manage multiple priorities without losing attention to detail. The ideal candidate is someone who does not simply wait to be told what to do, but learns the business, anticipates needs, solves problems, and helps move projects forward.
Key Responsibilities
Healthcare Administration & Patient Advocacy- Coordinate care and resources for Medicare and elderly clients.
- Communicate with PCP offices, insurance companies, medical suppliers, home-care agencies, and other providers.
- Assist with scheduling medical appointments, insurance navigation, mobility/DME requests, home-care services, and patient follow-up.
- Conduct weekly/biweekly patient check-ins and track outstanding needs.
- Research and coordinate food assistance, transportation, senior services, and community resources.
- Maintain organized and confidential patient documentation and follow-up records.
- Support daily salon operations, organization, scheduling, inventory, vendors, and special projects.
- Assist with promotions, marketing initiatives, product development & sales, events, and content creation.
- Help recruit and coordinate interns and support team projects.
- Identify opportunities to improve salon efficiency, client experience, revenue, and overall business growth.
Required Qualifications
- Bachelor's degree required.
- Strong proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and general office technology.
- Exceptional organization, planning, scheduling, and multitasking abilities.
- Excellent written and verbal communication skills; must communicate professionally and eloquently.
- Strong research, problem-solving, and critical-thinking skills.
- Ability to manage multiple projects and competing priorities.
- Comfortable working independently in a remote environment while remaining accountable and responsive.
- Ability to work in person when required for business operations and projects.
- Professional judgment and discretion when handling confidential information.
- Ability and willingness to quickly learn unfamiliar tasks, systems, and industries.
Experience in healthcare administration, patient advocacy, care coordination, medical offices, insurance navigation, executive assistance, project coordination, marketing, beauty/salon operations, or business operations is strongly preferred.
