Salon Receptionist & Front Desk Coordinator

Anita Kurl Salon, a fast-paced and growing salon in the South End is seeking an individual to fill in the role of Salon Coordinator (Full Time Administrative Assistant) to manage our front desk and ensure that all of our clients are getting the best experience possible and assist with escalating this business to its next level of success. We are seeking someone with Office Management and Administrative Assistant experience who can apply their corporate skill sets in a creative environment to manage current business initiatives, execute marketing efforts and plan for future company growth and success.

Ideal Candidate Requirements

The ideal candidate should have strong administrative experience and familiarity to display the following abilities:

  • Salon and Spa Industry Experience
  • Microsoft Office Suite Experience, mainly with Word and Excel
  • Effective Time Management, Planning, and Prioritizing Abilities
  • Punctuality, Professionalism, Flexibility, and Reliability
  • Enjoyment in Organizing Items and Systems
  • Demonstrate Excellent Multitasking Skills, Be Highly Organized, Self-Directed, and a Fast Learner
  • Have Strong and Professional Communication Skills
  • Great Attention to Detail and the Ability to Multi-Task
  • Excellent People, Teamwork, and Leadership Skills

Key Responsibilities

Front Desk and Client Management

  • Managing Multiple Schedules and Coordinating Client Appointments
  • Booking, canceling, rescheduling, and confirming appointments through our salon management system
  • Controlling our Salon Waitlist
  • Greeting & Providing Customer Service to Incoming Clients
  • Observation, and regulation of missing and late appointments as well as employee-caused issues
  • Professionally Communicating via Telephone and Emails for our Guests
  • Answering phone calls throughout the day in a polite and friendly manner (We are a fun place to be and we want everyone who calls to feel that vibe!)
  • Executing the Cash Flow Procedures including Opening, During the Day, and Closing methods
  • Email & Text Communications

Office Management

  • Supply Ordering and Inventory of both Hair Supplies and Office Supplies
  • Manage and observe product purchasing needs and requirements for ever-changing salon trends
  • Assisting with Salon Housekeeping Needs & Maintenance
  • Maintain the monthly organization of cleaning/window maintenance
  • Maintain upkeep of the Salon Booking System as well as consistently research new and innovative salon systems
