Job Description

Position Summary:

We are seeking a warm, motivated, and organized Salon Coordinator to join our dynamic team. The ideal candidate is the heartbeat of our front desk operations and culture, and has the important role of shaping the guest experience from start to finish. This position combines hospitality, organization, and multitasking in a fast-paced and supportive salon environment. You will facilitate the daily functions of the salon, ensure smooth scheduling, maintain a clean and inviting space, and be a welcoming presence for all guests and team members. Note: We are open Tuesday - Saturday, hence the "Every weekend" and "Other" choices for days of the week on this job listing!

Responsibilities

Client Experience & Front Desk:

  • Greet and welcome all clients with warmth and professionalism
  • Offer beverages and maintain a comfortable waiting area
  • Confirm appointments and manage cancellations and rescheduling politely and efficiently
  • Manage check-in and check-out, including accurate payment processing (POS, cash, and check)
  • Handle all incoming phone calls, emails, voicemails, and appointment inquiries

Scheduling & Team Coordination:

  • Keep the digital appointment book up to date
  • Coordinate service timing with stylists for efficient workflow and ensure minimal scheduling gaps
  • Communicate clearly and professionally with the team throughout the day

Salon Operations & Maintenance:

  • Maintain cleanliness of the reception area, coffee/tea/snack station, and salon as a whole
  • Keep up with daily tasks including but not limited to laundry, sweeping, disinfecting high-touch areas, dusting retail products/shelving, emptying various waste & recycling receptacles, etc
  • Organize and restock retail and backbar inventory
  • Monitor all supply levels for front and back of house, and assist with ordering from approved vendors

Marketing & Social Media:

  • Post to and maintain salon social media platforms
  • Capture and share high-quality content to reflect the salon's brand
  • Assist with marketing campaigns and seasonal promotions

Professionalism & Problem-Solving:

  • Handle guest concerns with empathy and solution-oriented communication
  • Respectfully and discreetly inform management of any potential issues so they can be handled immediately
  • Maintain confidentiality and uphold salon standards at all times
  • Proactively support a positive and productive team culture
