This Role Is Different
Our patients come to us during some of the most personal chapters of their lives — managing their hormones, reclaiming their confidence, feeling like themselves again. The person in this role is often the first voice they hear and the first face they see. That matters to us deeply. And beyond the warmth, this role is about growth.
You will own the patient pipeline from the first inquiry to the booked appointment. You will look at our calendar every morning and take it personally if there are empty slots. You will follow up relentlessly, represent us in the community, and help us become the most recognized wellness clinic in Hartford County.
What You Own
The Calendar- Every empty slot is your problem to solve
- Proactively fill cancellations and gaps before the provider notices them
- Manage scheduling with urgency and precision
- Know the week ahead before it starts
- Answer every inbound call and inquiry with warmth and energy
- Schedule discovery and consultation calls with the provider
- Follow up with every lead that has not converted — same day, next day, consistently
- Execute monthly outreach campaigns to existing and lapsed patients via text and email
- Update patient tracking systems daily — no lead goes untracked
- Join provider consultations at the payment stage
- Present packages confidently and collect payment
- Handle pricing questions without hesitation
- Turn "let me think about it" into "I'm ready to book"
- Actively request Google reviews from satisfied patients
- Represent Superior Health at local networking events
- Build referral relationships in the community
- Be the face patients remember and recommend to their friends
- Welcome every patient warmly by name when they arrive, offer water, and ensure they feel comfortable and cared for from the moment they walk through the door
- Responsible for opening and closing the clinic on your scheduled days
- Maintain a pristine front desk and clinic environment that reflects the Superior Health brand
- Answer questions about services and treatments with confidence
- Make every patient feel like the most important person in the room
Schedule
This role starts at approximately 20 hours per week during the training period through July and August, and grows to 32 hours per week at the end of August as you take on more responsibility. We are looking for someone who wants to grow their hours and their role with us over time.
What We're Looking For
Required- 2+ years in a sales, patient coordination, or high-touch customer-facing role
- Proven ability to convert inquiries into paying customers or patients
- Exceptional phone presence — warm, confident, and impossible to say no to
- Relentless follow-up discipline — you do not let leads go cold
- Self-starter who identifies problems and solves them without being asked
- Comfortable discussing health, wellness, and aesthetic services
- Tech comfortable — able to learn EMR software, scheduling tools, and texting platforms
- Reliable and punctual — in a small clinic, showing up matters more than anywhere else
- Able to travel occasionally for team conferences and training
- Experience in a medical, medspa, dental, or wellness clinic setting
- Familiarity with cash-pay or elective healthcare services
- Comfortable representing a business at networking events or in the community
- Experience requesting and managing online reviews
- Spanish speaking is a plus
