About Title WellnessTitle Wellness is a BHRT and hormone optimization practice in Medfield, MA, offering hormone therapy, medical weight loss, peptide therapy, and IV therapy. Since opening, we've built a loyal patient base on personalized, physician-guided care. We're now scaling: adding provider capacity, expanding our patient portfolio, and building the operational backbone to support that growth. This role is one of several we're hiring for right now — each with its own distinct scope and reporting line, so you'll know exactly what you own from day one.
The Role
We're looking for a Receptionist to be the first point of contact for our patients — over the phone, at check-in, and in scheduling. This role is focused specifically on the front-of-house experience: keeping the schedule running smoothly, answering day-to-day questions, and knowing exactly when to route a call or question to our nurse, our provider, or our Operations Manager rather than trying to answer everything yourself. This is not a clinical or medical-assistant role — it's the front door of the practice.
What You'll Own
- Manage the daily patient schedule — booking, rescheduling, and confirming appointments across all providers
- Answer incoming calls and messages, addressing scheduling and general practice questions directly
- Triage incoming questions to the right person: medical questions to our nurse or provider, operational or account questions to the Operations Manager
- Handle patient check-in and check-out, including intake paperwork and payment collection
- Open and close the office daily, including basic cash handling and end-of-day procedures
- Maintain accurate patient records and scheduling notes in Optimantra
- Keep the waiting area and front office organized and presentable
- Support basic filing and administrative tasks as directed by the Operations Manager
What You Bring
- Medical Assistant (MA) certification strongly preferred, but this is a front-desk role, not a clinical one
- Prior experience in a medical, med-spa, aesthetics, or specialty clinic front office
- Comfort with scheduling software and EMR systems (Optimantra experience a plus)
- A warm, professional phone and in-person presence — you're often a patient's first impression of the practice
- Good judgment about what you can answer yourself versus what needs to go to the nurse, provider, or manager
- Strong organizational skills and reliability with opening/closing responsibilities

You'll be a core part of the patient experience at a growing practice, with clear ownership over the front office and a direct reporting line to our Operations Manager. This role has a well-defined scope — you won't be asked to take on clinical or managerial responsibilities outside what's listed here.
