Medical Receptionist / Patient Coordinator / Medical Assistant at UBLISS Medical Aesthetics
UBLISS Medical Aesthetics is seeking a friendly, motivated, and professional Medical Receptionist / Patient Coordinator / Medical Assistant to join our growing team.This is an excellent opportunity for someone who enjoys working with people, is highly organized, and is eager to build a career in the medical aesthetics industry. You will work closely with our providers and team while helping create an exceptional patient experience from start to finish.
Responsibilities
- Welcome and assist patients in a warm, friendly, and professional manner.
- Answer phone calls, text messages, emails, and online inquiries promptly.
- Schedule, confirm, and coordinate patient appointments.
- Check patients in and out while maintaining accurate patient records.
- Verify patient information, obtain consent forms, and prepare charts before appointments.
- Maintain a clean, organized, and professional reception area, treatment rooms, and office environment.
- Assist providers during consultations and aesthetic procedures as needed.
- Prepare treatment rooms, instruments, and supplies before and after procedures.
- Sterilize and organize equipment according to office protocols.
- Assist with inventory management, restocking supplies, and receiving deliveries.
- Follow up with prospective and existing patients regarding consultations, treatment plans, appointments, and post-treatment care.
- Educate patients about treatments, services, financing options, memberships, and post-care instructions.
- Process payments, issue receipts, and assist with financing applications when applicable.
- Perform administrative duties including filing, scanning, data entry, and maintaining electronic medical records.
- Manage patient records using Microsoft Office, Google Workspace, and practice management software.
- Coordinate with vendors, representatives, and delivery services as needed.
- Assist with social media management, including creating content, taking photos and videos, filming treatments, editing short-form videos, posting on social media platforms, responding to messages and comments, and helping grow the practice's online presence.
- Maintain patient confidentiality and comply with HIPAA and office policies at all times.
- Work collaboratively with the team to ensure exceptional patient care and a positive patient experience.
- Perform other administrative and clinical support duties as assigned.
Qualifications
- Fluent in English and Korean (required).
- Chinese language proficiency is highly preferred.
- 1–2 years of customer service experience and front desk, preferably in a medical setting.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Professional appearance with a positive, patient-focused attitude.
- Ability to work efficiently in a fast-paced environment.
- Medical spa, dermatology, plastic surgery, healthcare, or customer service experience is preferred but not required.
- Proficient in Microsoft Office and Google Workspace.
- Willingness to learn and grow within the medical aesthetics field.
