Job Description

Immediate Opening for Front Office Coordinator needed for a high-end, growing, busy, professional Medical Spa in Seekonk, MA under the medical direction of Paul Flashner, M.D. and Danielle Shanley, M.D.

Characteristics and Skill Set Required

  • Medical Spa Industry Experience: 2 years
  • LEADERSHIP SKILLS: Highly motivated self-starter with pleasant and positive personality, excellent interpersonal communication, and a go-getter
  • Experienced in Exceptional high-end Customer Service Strong Sales experience
  • Very High Attention to Detail and good with math skills
  • Must be IT Savvy, must know Microsoft Windows Suite
  • Experience with Mindbody Software a plus
  • Presents in a professional, groomed, and well-dressed manner
  • Must be extremely organized, Expert and quick Problem Solver
  • Ability to accurately multi-task in a busy environment
  • Expert Time Management Skills
  • Knowledgeable or we will train on our product lines and medical aesthetic services
  • Desire to grow rapidly and must be a very quick learner

Daily Responsibilities

  • Perform all opening and closing duties with accuracy
  • Administrative support to Managers and Owners
  • Support MD's, NP's, RN's, Injectors, Coolsculpters, and Medical Aestheticians to ensure office runs smoothly and effectively
  • Consistently manage schedule to ensure appointments are booked properly
  • Check In/Check Out all patients with accurate payments
  • Answer phones and schedule patients, including making confirmations, outreach, and follow up calls
  • Consistently follows up with new patient inquiries
  • Creates, organizes, and maintains paper and electronic files. Prepares all providers charts for the day and filing at end of day
  • Knowledge of all policies, procedures, treatments, packages, pricing, essential paperwork, and special promotions
  • Knowledge of Alle, Aspire, Care Credit and Cherry Financing a plus
  • Communicates effectively and consistently all important information to Staff and Owner/Manager, and delegates appropriately
  • Assist with weekly Inventory
  • Performs accurate Close Out Reports each day
