Job Description

Healthy Glow Beauty & Med Spa in Rowley, MA is seeking a highly motivated part-time receptionist with a passion for social media to join our growing team!

We are a busy spa located in a prime, high traffic location. As the first point of contact for our patients, you will provide exceptional customer service, help to manage front desk operations and ensure smooth scheduling and administrative support for our entire team.

Hours of operation are Monday – Thursday 9:00 – 8; Friday - Saturday 9:00 – 4:00; Sunday 10:00 – 4. Schedules are flexible.

Responsibilities and Duties

  • Greet and assist patients with a warm and professional demeanor
  • Receive mail and package deliveries
  • Maintain cleanliness of the front area
  • Answer phone calls, emails and inquiries while providing accurate information on services, products, pricing, and promotions
  • Schedule and confirm appointments, manage cancellations, and optimize the provider's calendar for efficiency
  • Assist with patient intake forms and consent documentation while ensuring accurate data entry
  • Handle confidential patient information in compliance with HIPAA regulations
  • Ensure all inquiries from website and email are responded to in a timely manner
  • Process payments and manage point-of-sale transactions
  • Create bank deposits daily for checks and cash received
  • Maintain client records, scan documentation and update patient profiles in the system
  • Create engaging content for various social media platforms including TikTok, Instagram, and Facebook
  • Collaborate with the marketing team to support digital campaigns and promotions

Qualifications and Skills

  • Candidates must be friendly, outgoing, and passionate about the beauty industry
  • Punctual and reliable
  • Must have retail sales and customer service experience
  • Excellent phone presence and communication skills
  • Passion for creating engaging content and social media management
  • Ability to multitask and work well under pressure in a fast-paced environment
  • Good organization and time management skills
  • Team-oriented mentality
  • Working knowledge or ability to learn Google Chrome applications, scheduling software, and client documentation software
