Virtual Front Desk & New Client Coordinator at Motox Skin Science

This is not a traditional front desk position. Your primary focus will be helping Motox Skin Science grow by responding to new leads, following up with prospective clients, booking appointments, reactivating past clients, and making sure opportunities don't fall through the cracks.

Most of the position can be performed remotely, but you must live within commuting distance of Portland, Maine and be available to work in the clinic one day per week.

What You'll Do

• Respond quickly to new patient leads
• Answer and return phone calls, texts, and online inquiries
• Follow up consistently with prospective clients who have not yet booked
• Convert leads into scheduled appointments
• Reactivate past and inactive clients
• Confirm appointments and help reduce no-shows
• Follow up with clients who cancel or do not schedule
• Manage conversations and opportunities inside our CRM
• Use GoHighLevel to track leads, follow-ups, appointments, and patient communication
• Maintain organized notes and accurate client information
• Assist with front desk responsibilities during your weekly in-clinic shift
• Provide a friendly, professional, high-level experience from the first conversation
• Work closely with the Motox team to help achieve weekly and monthly new-client goals

Who We're Looking For

We want someone who is:

• Local to the Portland, Maine area
• Available to work evenings from 4:00–8:00 PM Eastern Time
• Able to work in the Motox Skin Science clinic one day per week
• Comfortable spending significant time on the phone and communicating by text
• Friendly, confident, and persuasive without being pushy
• Highly organized and consistent with follow-up
• Comfortable working independently from home
• Goal-oriented and motivated by commission
• Comfortable learning technology and CRM systems
• Reliable and responsive
• Excited about the medical aesthetics and skincare industry

Previous medical spa, aesthetics, healthcare, sales, customer service, or front desk experience is preferred but not required. Experience with GoHighLevel is a major plus.

What Success Looks Like

The biggest goal of this position is simple: turn more opportunities into new Motox Skin Science clients. We will look at metrics including:

• New leads contacted
• Speed to lead
• Follow-up activity
• Appointments booked
• New clients who show for appointments
• Reactivation appointments
• Lead-to-appointment conversion
