Practice Administrator / Client Experience Coordinator at Life Stage Massage
Life Stage Massage is an established therapeutic massage practice that has served the Hoboken community for more than 20 years. We recently expanded into a beautiful new street-level space and are looking for a warm, capable, highly organized person to join our administrative team.Our administrators are an important part of both the client experience and the day-to-day functioning of the practice. This is a hands-on role for someone who genuinely enjoys helping people, notices details, communicates well, and takes satisfaction in keeping things running smoothly.
The right person might be an excellent client-service professional looking for a stable part-time position, or someone with stronger administrative and organizational experience who is interested in taking on greater responsibility over time. For someone who demonstrates excellent judgment, initiative, and reliability, there is room for the role to grow.
Responsibilities
- Answering phones, texts, emails, and client inquiries with warmth and professionalism
- Scheduling, adjusting, and helping clients choose appropriate appointments
- Greeting clients and creating a welcoming experience from arrival through checkout
- Processing payments and assisting with memberships, packages, gift cards, and other services
- Resolving routine client questions and concerns thoughtfully and independently
- Supporting therapists and helping the day's schedule run smoothly
- Managing the practice's laundry throughout the shift, including washing, drying, folding, and keeping treatment-room linens stocked
- Maintaining an organized, clean, well-stocked reception and common area
- Restocking and inventory
- Light administrative work and occasional errands
- Identifying things that need attention and taking initiative to address them

- Has excellent phone and customer-service skills
- Is highly dependable and punctual
- Has exceptional attention to detail
- Is comfortable learning and using scheduling, point-of-sale, and other computer systems
- Can keep track of multiple things at once without becoming flustered
- Uses good judgment and can solve routine problems independently
- Takes initiative rather than waiting to be told about every task
- Communicates clearly and professionally with both clients and coworkers
- Takes pride in contributing to a beautiful, organized, well-run environment
- Is comfortable working independently as well as collaboratively
Previous experience in a spa, wellness practice, medical office, hospitality, or other high-touch client-service environment is helpful but not required for an otherwise exceptional candidate.
