Front Desk Agent at Hair Transplant Clinic

Job Overview

We are seeking a dynamic and personable Front Desk Staff member with ideally experience in medical sales/medical aesthetics/hair transplant industry and hair restoration to be the welcoming face of our Hair Transplantation clinic. This vital role involves managing front desk operations with enthusiasm, ensuring smooth office flow, and providing exceptional customer support. Assisting with hair transplants as well is ideal. The ideal candidate will be highly organized, tech-savvy, bilingual (if applicable), and possess a passion for creating positive first impressions, willing and able/ready to learn medical jargon, beneficial if already proficient in such. Your energy and professionalism will help foster a welcoming environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your administrative skills while supporting daily office functions.

Duties

  • Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring they feel welcomed and valued
  • Hair consultations which will involve some training for patients, some medical history taking and coordination with pharmacies, patients and vendors
  • Ideally hair transplant work as well
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle all front desk responsibilities including check-ins, appointment scheduling, and visitor sign-in procedures
  • Maintain organized filing systems, data entry records, and manage correspondence through email and mail processing
  • Utilize computer skills to update calendars, prepare documents using Microsoft Office and Google Workspace tools, and perform proofreading tasks
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Ensure phone etiquette standards are upheld at all times while providing excellent customer service support

Experience

  • Previous office or administrative experience with strong clerical skills preferred, medical assistant skills or background in medicine optimal
  • Proven ability to operate multi-line phone systems with professionalism and efficiency
  • History working for hair transplant clinics, direct experience and work experience performing transplantations
  • ARTAS robotic experience preferred
  • Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Experience in customer service roles demonstrating excellent communication skills and positive attitude
  • Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Basic bookkeeping knowledge including data entry and familiarity with QuickBooks is advantageous
