Job SummaryWe are seeking a dedicated and detail-oriented Aesthetics Coordinator to join our team. The ideal candidate will possess excellent organizational skills, aesthetics office experience, and a passion for supporting patient care within a dynamic aesthetic practice. As an essential member of our team, you will coordinate patient appointments, facilitate communication between patients and providers, and ensure smooth daily operations to enhance patient satisfaction and clinic efficiency.
Client Experience & Brand Representation
- Deliver a high-touch, luxury client experience from initial inquiry through post-treatment follow-up
- Serve as the face of RejuvaMed, ensuring every interaction reflects professionalism, warmth, and expertise
- Manage front desk operations, including greeting clients, check-in/check-out, and maintaining a polished environment
Scheduling & Patient Coordination
- Optimize provider schedules to maximize efficiency and revenue
- Coordinate consultations, treatments, and follow-ups with attention to detail
- Confirm appointments, manage cancellations, and maintain waitlists
Administrative & Operational Support
- Maintain accurate electronic medical records and client profiles
- Process payments, financing options, and package sales
- Support inventory management for skincare products and medical supplies
- Ensure compliance with HIPAA and clinic policies
Sales & Client Retention
- Confidently educate clients on RejuvaMed services, treatment plans, and medical-grade skincare
- Recommend memberships, packages, and promotions aligned with client goals
- Support conversion of consultations into booked treatments
- Build long-term relationships to drive retention and referrals
Team Collaboration
- Partner closely with providers to ensure seamless patient flow
- Communicate client preferences, concerns, and treatment history effectively
- Contribute to a positive, team-oriented culture focused on excellence
Qualifications
- 3-5 years of experience in a medical aesthetics clinic, med spa, dermatology, or luxury service environment
- Strong understanding of aesthetic treatments (e.g., injectables, laser, skin rejuvenation) required
- Proven ability in client service, sales, or front desk coordination
- Experience with EMR and scheduling systems
- High level of organization and attention to detail
- Bachelor's Degree Required
